Terms & Conditions
Last updated: August 15, 2026 · Version 2026-08-15
1. Platform Description
BoothFill is an online marketplace and community platform that connects athletic departments and sports organizations ("Programs") with freelance broadcasters ("Broadcasters"), and brings together fans, coaches, journalists, and sports media enthusiasts ("Community Members"). BoothFill is not an employer of Broadcasters and is not a party to any working relationship, contract, or agreement between a Broadcaster and a Program. BoothFill does not set or pay wages, does not withhold taxes, and does not direct or control how Broadcasters perform their work. All terms of a booking — including pay, schedule, duties, and equipment — are negotiated and agreed directly between the Program and the Broadcaster.
2. Account Eligibility & Information Accuracy
You must be at least 18 years old and legally able to enter contracts to create an account. You agree to provide accurate, current, and complete information about yourself and, if applicable, your organization — including your name, email, credentials, experience, and school or organization details. You may not create more than one account per person, impersonate another person or entity, or misrepresent your credentials, experience, or affiliation. You are responsible for keeping your password secure and for all activity under your account.
3. Subscription Payment Terms
Broadcasters are on a single subscription plan:
- Basic — $15/month after a 30-day free trial. The trial starts automatically when the first gig matching the broadcaster's sport and location appears on the board. No card is required until the trial begins. Billed monthly in advance after the trial. Auto-renews each month until cancelled.
60-day safety net: If no matching gig appears within 60 days of signup, the free period is extended automatically and the account is flagged for manual review — the broadcaster is never billed during this extension.
Payments are processed by Base44 Payments (powered by Wix). Your card is charged monthly on the same calendar date as your original subscription. You can cancel anytime from Account Settings — cancellation stops future billing and you keep access through the end of your current paid period. Community Members are never charged; the community is free.
Cancelling and refunds: You can cancel anytime from Account Settings. If you cancel during your 30-day free trial, the subscription is stopped immediately and your card is never charged. After the trial, cancelling stops future billing and you keep access through the end of the period you already paid for. Subscription fees are non-refundable, and no partial refund is issued for unused time. Section 3.1 sets out the full refund policy, including the Gig-Drought Protection refund.
If a payment fails, you'll be notified by email and given the opportunity to update your payment method. If payment is not restored within the grace period, your account may be restricted or frozen (gig applications paused, profile remains visible) until payment is resolved.
3.1 Refund Policy
This section covers everything BoothFill charges for. It does not cover pay for a gig itself: amounts owed between a Program and a Broadcaster are settled directly between them (see Section 4), and BoothFill does not collect or refund them.
- Subscription. Monthly subscription fees are non-refundable, and no partial refund is issued for unused time. If you cancel during your 30-day free trial, the subscription is stopped immediately and your card is never charged. After the trial, cancelling stops future billing and you keep access through the end of the period you already paid for.
- Gig-Drought Protection. If you have held a paid monthly subscription for at least 30 days, applied to three (3) or more gigs in the last 30 days, and were confirmed for none of them, your next monthly payment is refunded in full. That payment is charged on schedule and then refunded automatically — you do not need to request it. If a refund fails for any reason, we process it manually and reach out to you.
- Pay Per Booking fee. This fee is earned when a Program confirms you for a gig, and it is not refunded if you later cancel that confirmed gig. If the Program cancels the confirmed gig before it is worked, or the game is called off for reasons outside your control, contact us and we refund the fee in full.
- 1-on-1 coaching sessions. Full refund if you cancel or reschedule at least 24 hours before your session. No refund for cancellations inside 24 hours or for no-shows, because the coach's time is already reserved. If we cancel or move your session, you choose a full refund or a free reschedule. The same policy is shown before you pay when you book a session.
- On-demand videos, webinar seats, and downloadable materials. These are digital purchases and are non-refundable once you have accessed the content. If you were charged in error, or you cannot access what you paid for, contact us and we will fix it or refund it in full.
Refunds are issued to the original payment method through Base44 Payments (powered by Wix). We process refunds within a few business days; your bank or card issuer may take up to 10 business days to post it. To request a refund or ask about a charge, email colin@boothfill.com or use our Contact page, including the date and amount of the charge.
Nothing in this section limits any right you have under applicable consumer protection law, including any right to cancel a purchase within a statutory cooling-off period.
4. Gig Posting & Booking Terms
Programs post gigs for free and set the pay, format, date, location, and any notes. Broadcasters apply to gigs; Programs review applications and confirm the broadcaster of their choice. BoothFill does not guarantee placement, matching, or the outcome of any booking. Both parties agree to communicate in good faith and to honor the terms they agree to directly. Programs and Broadcasters are each responsible for their own tax obligations arising from any booking. BoothFill does not facilitate payments between Programs and Broadcasters for individual gigs — that is handled entirely between the two parties.
4.1 Season Package Terms
A Season Package is a booking that covers multiple games across a season, rather than a single game. Season Packages are subject to the following cancellation and notice terms:
- 14-day notice: Either party may cancel a Season Package, but at least 14 days' notice before the next scheduled game is required to cancel without penalty.
- Program cancellation with less than 14 days' notice: The Program owes the Broadcaster pro-rated pay for all games already completed, plus a cancellation fee equal to two (2) games' pay.
- Broadcaster cancellation with less than 14 days' notice: The Broadcaster's account is flagged for admin review and may be suspended under the cancellation strike policy in Section 5.
- Pro-ration: Pay for completed games is calculated based on the per-game rate (or the flat season rate divided by the approximate game count) multiplied by the number of games actually completed.
By posting, applying to, or confirming a Season Package, both parties acknowledge and agree to these terms. These terms are presented at confirmation and application and must be acknowledged before proceeding.
4.2 SMS & Text Messaging Terms
By providing your phone number and enabling text alerts, you consent to receive SMS messages from BoothFill via our SMS provider (SimpleTexting) related to gig alerts, booking reminders, and account notifications. SMS alerts are optional — you can disable them anytime in Account Settings.
- Message frequency: Up to 3 messages per day per broadcaster. We do not send texts between 10pm and 7am in your local time zone.
- Opt-out: Reply STOP to any message to unsubscribe. Once you opt out, you will not receive further SMS from BoothFill, and your opt-out is tracked in our database. Reply HELP for help.
- Carrier rates: Standard message and data rates may apply per your mobile carrier plan.
We reserve the right to update message types and frequency. Material changes will be reflected in an updated version date at the top of these Terms.
5. Broadcaster Cancellation Policy
Cancelling a confirmed gig — whether a single game or a Season Package — triggers a cancellation strike against the Broadcaster's account. Accumulated strikes may result in automatic account suspension. After three (3) strikes, an account is automatically suspended. Suspended accounts cannot apply to gigs; the profile remains visible. To appeal a suspension, contact colin@boothfill.com.
6. Community Code of Conduct
When using the BoothFill community feed, you agree not to:
- Harass, threaten, or intimidate other users, including hate speech or personal attacks.
- Post spam, repetitive self-promotion, or irrelevant commercial content.
- Impersonate another person, broadcaster, program, or organization.
- Share another user's private information (email, phone, address) without consent.
- Post content that is illegal, fraudulent, or infringes on others' rights.
BoothFill moderates the community and reserves the right to remove posts, comments, or accounts that violate this code. See our Community Guidelines for more detail.
7. Content Ownership
You retain ownership of any content you upload to BoothFill — including demo reels, clips, resumes, photos, and community posts. By uploading, you grant BoothFill a limited license to display that content on the platform for the purposes of matching, community interaction, and platform promotion. Programs and Broadcasters retain all rights to their own game broadcasts; BoothFill claims no ownership of broadcast content. You are responsible for ensuring you have the rights to any content you upload and for ensuring it does not infringe on third-party rights.
8. Dispute Resolution
Disputes between a Broadcaster and a Program — including pay, performance, no-shows, or cancellation of a confirmed booking — should be resolved directly between the two parties. BoothFill may, at its sole discretion, facilitate communication between the parties, but BoothFill is not a mediator, arbitrator, or party to any such dispute and is not liable for the outcome. For disputes involving the platform itself (billing, conduct, account access), contact colin@boothfill.com.
9. Account Suspension & Termination
BoothFill reserves the right to suspend or terminate any account at any time for violations of these Terms, fraudulent activity, illegal conduct, or behavior harmful to the community or the platform. Suspensions may be automatic (for example, the cancellation strike policy) or manual (admin action). Terminated users lose access to the platform and are not entitled to a refund of any remaining subscription period. You may delete your account at any time from Account Settings or by contacting us.
10. Limitation of Liability
BoothFill is provided on an "as is" and "as available" basis. BoothFill is not liable for the conduct of any Broadcaster or Program, the quality or reliability of any broadcast, or the outcome of any booking. To the maximum extent permitted by law, BoothFill's total liability for any claim arising from or relating to the platform is limited to the subscription fees you paid to BoothFill in the thirty (30) days preceding the claim. BoothFill is not liable for indirect, incidental, special, or consequential damages.
11. Privacy Policy
Our Privacy Policy describes what user data we collect, how we use it, and the third-party services we rely on (including payment processors and SMS providers). It is incorporated here by reference.
12. Governing Law & Jurisdiction
These Terms, and any dispute or claim arising out of or in connection with them, the platform, or the services (including non-contractual claims), are governed by the laws of the state in which Calvert Media LLC is organized, without regard to its conflict-of-laws principles.
You and BoothFill agree that the state and federal courts located in that state have exclusive jurisdiction over any such dispute, and each party consents to venue and personal jurisdiction in those courts. Either party may seek relief in a court of competent jurisdiction to protect its intellectual property or to enforce a judgment, and nothing in this section deprives you of the protection of the mandatory consumer-protection laws of the state or country where you live.
13. Changes to These Terms
We may update these Terms and the Privacy Policy as the platform evolves. When we make material changes, we'll update the version date at the top of this page and require existing users to review and accept the updated terms before continuing to use the platform. Your continued use of BoothFill after changes take effect constitutes acceptance of the updated terms.
