Privacy Policy

1. Information We Collect
We collect the information you provide when you sign up and build your profile:
- Account: name, email, password (stored as a hash, never in plain text), and account role (broadcaster, program, community member, or admin).
- Broadcaster profiles: home state, travel states, main sport and sports covered, years of experience, bio, photo, demo reel links, resume, and phone number.
- Program profiles: school or organization name, division, conference, league details, state, primary contact name, contact email, phone, and website.
- Community profiles: name, member role, sports, state, city, bio, and photo.
- Usage data: pages you view, gigs you browse or apply to, and interactions within the community feed.
- Payment information: handled entirely by our payment processor (see Third-Party Services). We do not store your full card number.
2. How We Use Your Information
We use your data to operate the marketplace — showing your profile to programs, matching you with relevant gigs, sending gig alerts and booking notifications, processing subscriptions, and communicating with you about your account. We also use anonymized usage data to improve matching and platform features. We never sell your personal data to third parties.
3. Who Sees Your Information
Broadcaster profiles (name, photo, sports, states, bio, demo reels, resume, and ratings) are visible to Programs and Community Members on the directory. Your contact email is shared with a Program when relevant to a booking or conversation. Admins can review profiles and vetting summaries to verify accounts and maintain platform safety. Your profile strength score is visible only to you and admins.
4. Third-Party Services
We rely on the following third-party services to operate the platform:
- Base44 Payments (powered by Wix): processes subscription payments. Your card information is collected and stored by the payment processor under their security standards — we do not store full card numbers.
- Google / Gmail: used for email notifications and optional Google sign-in. We access only the email address and basic profile info needed for authentication.
- SimpleTexting (SMS): we collect phone numbers to send optional SMS notifications such as gig alerts and reminders. We send at most 3 texts per day and never between 10pm and 7am in your local time zone. Reply STOP to any message to unsubscribe — opt-outs are tracked in our database and honored permanently. Standard message and data rates may apply per your carrier plan.
Each third-party service processes data under its own privacy policy and terms. We share only the minimum information necessary to provide the feature.
5. Data Retention
We keep your information while your account is active. When you request account deletion, we remove your profile, applications, and personal details within 30 days. Some records may be retained as required for accounting, legal, or fraud-prevention purposes.
6. Your Rights
You can access, correct, or request deletion of your data at any time. You can update your profile from Account Settings, or contact us at colin@boothfill.com to request a full data export or account deletion.
7. Security
We take reasonable measures to protect your information, but no system is 100% secure. We cannot guarantee the absolute security of your data.
8. Children's Privacy
BoothFill is not intended for anyone under 18. We do not knowingly collect information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
9. Changes to This Policy
We may update this Privacy Policy as the platform evolves. When we make material changes, we'll update the date at the top and notify users. See our Terms & Conditions for details on how we handle changes.
